1. Who We Are

2. Information We Collect

Information You Provide Directly

  • Name, email address, phone number, and company or facility name
  • Mobile phone number, when you provide it, and your SMS consent, including whether you checked the text-message box on a form
  • The message you send, including the kind of facility and the service you are asking about
  • Information you give us by phone or email when you request service, a walkthrough, or a privacy request

If you request a free downloadable guide (for example the Walk-In Cooler & Freezer Panic Pack), we collect your name, email, company, and optional phone so we can email you the download link and follow up if needed. That request is stored in our admin panel like other forms.

The forms on this Site do not collect payment card numbers, Social Security numbers, or government ID numbers.

Information Collected Automatically

  • IP address and approximate location derived from that address
  • Browser type, device type, and pages visited, when you allow analytics cookies
  • Cookie identifiers described in Section 7

Information from Third Parties

We do not buy personal information from data brokers for this Site. If you follow a link from another website, that site may tell us the page you came from.

3. How We Collect Information

We collect information through:

  • The facility-walkthrough form, the contact form, the Do Not Sell or Share form, and, when it is offered, a free-guide download form
  • Phone calls and email to the shop
  • Google Analytics 4, which loads only after you allow analytics cookies
  • Google Maps, which loads only after you allow marketing cookies
  • The homepage review widget from ReviewOur (u.reviewour.biz), which loads with the page
  • The cookie banner, which stores your consent choice
  • Google reCAPTCHA v3, which runs when you submit the facility-walkthrough form, the contact form, or the Do Not Sell or Share form

This Site does not load a Meta (Facebook) Pixel, a Google Ads tag, or an email-newsletter tool. The forms do load Google reCAPTCHA v3.

4. How We Use Your Information

We use collected information to:

  • Answer questions and schedule HVAC or refrigeration service
  • Provide the free facility walkthrough and emergency service you request
  • Email a free downloadable guide, such as the Walk-In Cooler & Freezer Panic Pack, when you request it
  • Send service-related text messages when you agree to receive them
  • Keep a record of the request so the shop can follow up
  • Understand how the Site is used, if you allow analytics
  • Show the map on a page, if you allow marketing cookies
  • Show homepage reviews through the ReviewOur widget
  • Respond to privacy requests, including Do Not Sell or Share requests
  • Meet legal duties and protect the Site from abuse
  • Check form submissions with Google reCAPTCHA v3

We do not use this Site to run advertising campaigns or to enroll you in a newsletter. If you email or call us, we use that message to respond.

5. How We Share Your Information

We do not sell your personal information. We share it only in these cases:

Google Analytics

If you allow analytics cookies, Google receives usage data such as pages visited and a cookie identifier so we can see aggregate traffic. Google’s privacy policy is at policies.google.com/privacy.

Google Maps

If you allow marketing cookies, Google receives the map request so the embedded map can load.

Google reCAPTCHA

When you submit a form, Google receives the reCAPTCHA token and technical data such as your IP address so it can score the request. Google’s privacy policy is at policies.google.com/privacy and the terms are at policies.google.com/terms.

Homepage reviews

The homepage loads a review widget from u.reviewour.biz with the page. ReviewOur may receive technical data, such as your IP address, so it can display the reviews. We do not write those reviews on this Site. The cookie banner’s marketing category does not cover this host, so the widget is not held until marketing consent.

Our email and hosting providers

Contact and quote form submissions are stored in our private admin panel (/cp) so the shop can follow up, and a copy is emailed to info@tcm-hvac.com. A request for a free downloadable guide, such as the Walk-In Cooler & Freezer Panic Pack, is stored the same way. We email the download link to the address you gave us, from info@tcm-hvac.com, and a copy of that request goes to the same inbox. Do Not Sell or Share requests are saved in that same admin panel and forwarded to iQ Cookie (scan.iqcookie.com) so the opt-out can be recorded. We do not email those Do Not Sell or Share requests, and we do not send the visitor’s IP address to iQ Cookie with that forward. Cookie consent choices may also be logged with iQ Cookie when that feature is enabled. The company that hosts the Site can see server logs, including IP addresses, as part of delivering the pages.

We share information when the law, a court order, or a government request requires it.

We do not give customer lists to data brokers.

6. SMS Communications and Mobile Information

We may collect your mobile phone number and SMS messaging consent when you provide it to us verbally, in person, by phone, through a form, or through another approved opt-in method. We use this information to send service-related text messages, including appointment reminders, technician arrival updates, service updates, billing notifications, and other communications related to services you request from us.

We do not sell or share mobile phone numbers, SMS opt-in data, or SMS consent status with third parties or affiliates for their marketing or promotional purposes.

Message frequency may vary. Message and data rates may apply. Reply STOP to opt out or HELP for assistance.

7. Cookies and Tracking Technologies

The Site uses a cookie banner. Necessary cookies remember whether you accepted or declined. Analytics cookies (Google Analytics) stay off until you allow them. The map stays off until you allow marketing cookies. The homepage review widget loads with the page and is not part of that marketing gate. Form pages load Google reCAPTCHA v3 so the spam check can run. That script is not held for cookie consent.

For the cookie names and how to refuse them, see our Cookie Policy. California residents can use the Do Not Sell or Share My Personal Information page.

8. Data Retention

We keep personal information only as long as we need it for the purposes above, unless the law requires longer. Our general guidelines are:

  • Service and customer records: 5 years after the last service relationship
  • Contact form inquiries: 2 years
  • Privacy and Do Not Sell or Share requests: as long as we need them to honor the request
  • SMS consent records: until you opt out, and longer if we need the record to show that you agreed
  • Website analytics data: 26 months (Google Analytics default)
  • Financial and billing records kept by the business, not collected as card numbers on this Site: 7 years

When information is no longer needed, we delete or anonymize it. Backup copies are isolated until they can be deleted.

9. Data Security

We use ordinary care to protect personal information, including HTTPS for pages and forms and limiting access to shop staff who need it to do the work.

No method of electronic transmission or storage is completely secure. We cannot promise absolute security. If a breach of your information requires notice, we will notify you as the law requires.

The Site links to other websites, including map and browser-help pages. We are not responsible for the privacy practices of those sites. This policy applies only to tcm-hvac.com.

11. California Privacy Rights (CCPA / CPRA)

If you are a California resident, you have the following rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA):

Right to Know

You may request that we disclose what personal information we have collected about you, the categories of sources, the purposes for collection, and any third parties we share it with.

We will respond to verifiable requests within 45 calendar days. If we need additional time (up to 90 days total), we will tell you. We may need to verify your identity before processing your request.

12. Other U.S. State Privacy Rights

Residents of states with consumer privacy laws, including Virginia, Colorado, Connecticut, Texas, and Tennessee, may have similar rights to access, correct, delete, and opt out of the sale or sharing of personal information. Tri-County Mechanical will honor a privacy request from a resident of any U.S. state on a good-faith basis.

To submit a request, email info@tcm-hvac.com with “Privacy Request” in the subject line and your state of residence.

13. Children’s Privacy

Our Site is not directed to children under the age of 13, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us at info@tcm-hvac.com and we will delete it.
